Changes to Codes for Developmental Disabilities Services Timesheets and Non-Payroll Reimbursement Requests

What’s Happening?
The State is working on improving the way it keeps track of what services are provided to people in the Developmental Disabilities Service Home and Community-Based Services Program. To do that, the State is requiring ARIS Solutions to collect information from employers and employees in a slightly different way when completing timesheets and reimbursement requests.
What is Changing?
Employees will use new timesheet codes when reporting their provided services. The new codes will also identify the number of people the employee was supporting, and whether the service was provided in a home or community setting. When approving timesheets, employers will need to make sure employees are using the new codes correctly. There will also be new codes for the Non-Payroll Reimbursement Requests form.
The State and ARIS Solution hosted a webinar training on March 5th to explain the new timesheet forms and answered questions from employers and employees.

What will this look Like?
The new timesheet and the Non-Payroll Reimbursement Request form will be very similar to the existing forms. The main change will be the addition of the new codes that are to be used.

When does this Start?
After April 25th, 2021, timesheets and Non-payroll Reimbursement Requests will only be paid when submitted using the new forms with the new codes.
Why is this Happening?
The Federal government requires the State to collect accurate information regarding services that are paid through Medicaid to ensure services are provided correctly and that funds are spent appropriately. These new codes will allow the State to verify the services provided to people and fulfill their federal requirements.
